First, though, here’s a quick overview of Gravity Flow…

About Gravity Flow

Gravity Flow is an add-on for Gravity Forms that’s been available for over seven years. In 2022 Rocketgenius acquired Gravity Flow, adding this powerful plugin to our portfolio of WordPress solutions.

With Gravity Forms and Gravity Flow, you can automate data capture workflows to increase productivity and efficiency. As these case studies show, you can benefit from using Gravity Flow in numerous ways.

Once you’ve created a form with Gravity Forms, you can use Gravity Flow to create workflows that use form submissions as a basis to automate business processes, such as hiring, approving vacation requests, processing orders, and much more.

Multiple action steps and conditional logic let you create advanced workflows that should cover most business processes. You can also integrate your workflows with a wide range of extensions and third-party apps, such as email marketing services, payment processors, invoicing software, and much more.

Gravity Flow also makes it easy to review the performance of your workflows to identify any bottlenecks and improve their efficiency — all from inside your WordPress dashboard.

Gravity Flow Case Studies

Now that you know what Gravity Flow can do, here are three case studies from organizations that have used this tool to replace inefficient workflows with much more beneficial ones.

Faster Turnaround Times Lead to More Deals Closed and Happier Customers

California mortgage bank SecureOne Capital Corporation was able to automate its sales process and reduce turnaround time from the industry-standard 30 days down to an industry-leading 14 days.

Since implementing Gravity Flow, they can now close loans faster, benefiting both the business and their customers.

The Problem

The manual workflow in place before using Gravity Flow caused the business to work inefficiently. There was ineffective communications, poor reporting, and there needed to be more understanding of what was happening at each stage of the process. The workflow also relied on the intervention of more experienced sales staff to move the process forward.

The Solution

Since creating a workflow with Gravity Flow, SecureOne Capital Corporation has been able to ensure that several departments can work together to complete the process and ensure that no steps are skipped.

As part of the workflow, Gravity Flow notifies the borrower and bank staff via email and SMS when there’s action to be taken. Conditional rules in the workflow are used to determine which staff members and departments are notified based on form inputs and the loan application outcome.

The Benefits

The main benefit of this for the bank has been an increased capacity to close approved loans faster. By halving the turnaround time from 30 days to 14 — a period that’s unheard of in their industry — sales staff can be more productive, and customers have to wait less time for a response.

Overall, SecureOne Capital Corporation benefited from saved time, improved information retention, enhanced communication, and clearer reporting.

Improved Vacation Request Workflow Increases Productivity and Satisfaction

The Winter Park Police Department of Florida used Gravity Flow to manage its complex vacation request workflows. This, in turn, led to increased employee and supervisor productivity and satisfaction.

The Problem

After years of using email to manage vacation requests, the Winter Park Police Department decided it was time to modernize its approach. The manual workflow took up lots of time and generated a significant amount of emails. They also found managing, storing, and responding to all of those emails a tremendous challenge.

The Solution

Once they turned to Gravity Flow, the Police Department was able to implement a complex and custom vacation request processing workflow. Each request was automatically moved through the workflow, being sent to the appropriate people in the process for approval before being finally returned to the original applicant, complete with the approval status.

The Benefits

The Gravity Flow-powered solution not only cut down on email traffic between employees and their supervisors, but it also saved a lot of time and money.

Processes that used to take several days to complete are now wrapped up in minutes thanks to a much more user-friendly and convenient Gravity Flow-powered workflow.

Time and Money Saved with Custom Workflow That Replaced Spreadsheets and Emails

Weiman Products, a cleaning products company based in Gurnee, IL, used Gravity Flow to reduce the timescale of a key workflow from months to a couple of days. Replacing the spreadsheet and email-based workflow saved costs and improved employee engagement.

The Problem

Before Gravity Flow, Weiman Products used multiple versions of an Excel spreadsheet to manage stock code data. When a new stock code was created, the spreadsheet was emailed around the various departments so that they could add their data to the file.

This approach resulted in inconsistent and unreliable master data. Furthermore, there was a lack of transparency around the entire process. It was also unclear who was responsible for data input, and accountability around changes was lacking. Perhaps most importantly, the workflow was taking too long and had become a drain on employees’ time and energy.

The Solution

With a strong motivation to make the process more efficient, it was decided that Gravity Flow would be used to improve the workflow.

One way this was achieved was by creating a workflow that allowed each department to enter their data right away, rather than waiting for the spreadsheet to be emailed to them once another department had finished entering their data.

The Benefits

Thanks to the new Gravity Flow workflow, Weiman Products reduced the time taken to create a new stock code from two months or more to two weeks.

Gravity Flow also made it possible to restrict access to fields so that only those with the correct privileges could edit them, helping to increase the integrity of the master data significantly.

The fact that there were no longer multiple versions of the spreadsheet in circulation made a noticeable difference in this area, too.

Weiman was happy to report that the new workflow saved them money by cutting time and shipping fines and that people could trust the data again.
